Capgemini helps the Ibaraki Prefectural Government to transform its business operations using Robotic Process Automation

Capgemini Japan K.K announced that it has successfully supported the Ibaraki Prefectural Government to transform its business operations through the implementation of Robotic Process Automation (RPA) technology, which has resulted in increased productivity and significant improvements in ways of working at the Prefectural Office.

Capgemini worked with the Ibaraki Prefectural Office to identify paper-based business processes that would benefit from the introduction of RPA in order to optimize its existing administrative operations and transform its ways of working. This has resulted in the reduction of working hours by approximately 35,000 hours per year across 20 distinct administration, education, and police operations, enabling the Ibaraki Prefectural Government employees to focus their efforts on higher value work that demand more expertise, to deliver high quality of service to the prefecture and its citizens. Furthermore, Capgemini’s RPA solution enabled the Ibaraki Prefecture to digitize its fund intended to help combat the spread of COVID-19, allowing officials to respond rapidly to approximately 12,000 businesses that applied for financial support through this program during the pandemic earlier this year. This helped to shorten the processing time for each application by 10 minutes and significantly improved customer experience.

This close collaboration has delivered significant business outcomes to the Ibaraki Prefectural Office, including reduced working hours, increased efficiency, modernized ways of working, as well as enhanced quality of service delivered to its citizens. Based on this transformation, the Ibaraki Prefectural Office has now become a model case for RPA introduction for a leading prefecture.

Using Capgemini's RPA and optical character recognition (OCR) solution, we were able to reduce the payment processing time of more than 10,000 handwritten applications from 12 minutes down to 2 minutes per case during the COVID-19 pandemic.”
